Dispatch is the leverage seat in any plumbing shop. Every decision the dispatcher makes — which tech, which truck, which order, which window — touches labor utilization, parts cost, drive time, and customer satisfaction in the same breath. Get it right and an 8-truck shop runs like 10. Get it wrong and you are paying eight techs to sit in traffic.
AI does not replace the dispatcher. It compresses the cognitive load by scoring every open job against every available tech in under a second, then surfacing the top three assignments with a short reason. The human still confirms or overrides. This is the workflow most plumbing owners underweight in their first AI rollout, and the one that pays the fastest at 5+ trucks.
What an AI dispatcher actually decides
A plumbing dispatch decision is a small optimization problem. The variables are knowable: the tech's certifications, the truck's current stock, the ETA from the current job, the SLA window the CSR promised, the drive time penalty, and the customer's history. Common rollout mistakes
Treating the dispatcher as a threat. The dispatcher is the customer of this tool. If they feel replaced, they will override 80% of recommendations to make the AI look wrong. Bring them into the rule-writing on day three.
Hiding the reason. Every AI recommendation should ship with a one-line rationale. The dispatcher needs to know why before they confirm. Black-box recommendations get overridden every time.
Skipping the licensing rules. OSHA confined-space, PHMSA gas, state plumbing board scope-of-work limits — these have to be hard rules in the engine. The AI cannot recommend a journeyman for a gas line repair if that journeyman is not gas-certified. Make these hard blocks, not soft warnings.
Forgetting parts. Dispatching without parts staging is half the workflow. Pair them. If the AI is recommending Eddie because he is closest, but Eddie's truck does not have the 50-gallon water heater, that recommendation is wrong.
No exit ramp. Build the workflow so the dispatcher can drop back to manual mode in two clicks if the AI is producing bad recommendations on a particular day. Trust comes from being able to turn it off, not from being unable to.
What good looks like
Three numbers, measured weekly:
- Nonproductive truck rolls. Floor: 14% baseline. Target: 8% by day 60.
- SLA hit rate. Floor: 78% baseline. Target: 91%+ by day 60.
- Dispatcher override rate. Floor: 30% in shadow mode. Target: 10–20% steady state.
